Our Client, BŌK Modern, is a cutting-edge architectural metal systems company located in downtown San Rafael, CA. They specialize in ultra-modern architectural metal systems, including balcony and stair guardrails, wall screens, canopies, and fencing. Collaborating with renowned architecture firms, you'll be at the forefront of innovation in the industry. You will be participating in a wide variety of national and international landmark projects. Their projects are primarily for the multi-residential, educational, and commercial construction industries.

The Role: Reporting to a Senior Project Manager, the Project Coordinator/Senior Project Coordinator offers internal project coordination and support. The incumbent works closely with the Project Management Team and multiple vendors to manage workflow of quotes and order entry. This role coordinates a range of related business and administrative efforts through both internal and external channels to ensure highly effective, organized and on-time delivery and acknowledgment of relevant data.

Project Coordinator – Grade 6/7
Project Tracking / Facilitation / Project Management

  • Facilitates orders, deliveries, schedule, and quality.
  • Works to factor daily operations and communicates in a professional and prompt fashion with the sales representative network, clients, purchasers, and customers.
  • Evaluates daily business efforts and priorities to factor necessary tasks and duties to ensure their smooth facilitation.
  • Utilizes critical thinking and work experiences to formulate, develop and introduce plans and practices that can be implemented to reinforce and formalize effective execution of tasks.This is further emphasized with respect to all duties that support the delivery of products, detailed product and order information, and delivery schedule of products and material both incoming and outgoing, database management, etc.
  • Ensures smooth and proper flow of manufacturing components and delivery of products on time.
  • Facilitates strong internal team working relationships, general industry knowledge and growing technical knowledge.
  • Focuses on supporting and achieving results to successfully complete projects.
  • Listens and offers support to teammates.
  • Completes various assignments in multiple arenas in parallel with one another while ensuring organization of data and delivery of products and components with the utmost attention toward detail and professionalism.
  • Utilizes sales and quoting information database for standard products.
  • Oversees quoting and purchase orders for standard product orders.
  • Fields inquiries relating to the physical and technical aspects of products.
  • Produces order acknowledgements for each project.
  • Maintains a positive public disposition during high stress situations.
  • Creates and maintains strong relationships with customers, sales reps, and Creative Project Manager.
  • Enters new customers and generates deposit invoices.
  • Opens new jobs in BuilderTrend & PDM.

Senior Project Coordinator – Grade 8
Project Tracking / Facilitation / Project Management

  • Receives, processes, and manages multiple incoming orders with unique requirements and timelines.
  • Controls project flow from project start through shipping phase by providing administrative direction for customers and various internal departments to ensure project is completed on schedule and within budget.
  • Implements new processes and software.
  • Analyzes initial project requirements.
  • Sends color chips for approval.
  • Understands customer shipping requirements and communicates with the Shipping Coordinator.

Coordination with Internal Teams

  • Takes part in higher level process improvements and internal projects.
  • Works with Architectural Specialties Project Managers to establish large project timelines and phasing.
  • Works with Architectural Specialties Project Managers to provide problem resolution. Provides verbal and written reports with issues, implications, and potential courses of action, as required.
  • Notifies internal teams of incoming projects with unique requirements to ensure the lead times are met.
  • Understands customer shipping requirements and communicates with Shipping Coordinator

Communications with Clients and Vendors

  • Trains, along with the Creative Project Manager, all new hires, and all new and existing vendors.
  • Works with senior team members to develop improvements and to maintain department standards and processes.
  • Leads by example and provides guidance to Project Coordination Team
  • Leads project intake meetings and communicates next steps and timelines with clients and Creative Project Managers.
  • Accepts orders and acknowledges current timelines and what to expect during the process.
  • Updates customers on fabrication and delivery status and requests additional information, as needed.
  • Communicates shipping dates after final order approval and gathers shipping requirements.
  • Inform customers as early as possible of potential delays to the shipping date.
  • Communicates tracking information to customers once project has shipped.
  • Provides support to assigned representatives
  • Weekly schedule and delivery coordination and reports

Qualifications

  • Bachelor’s Degree in Business, Communication, or related field
  • At least two years of work experience in sales, customer service, and/or sales process improvement or relevant role required; customer service back-end logistics preferred.
  • Experience in the Architecture + Design field preferred
  • Experience working in cloud-based CRM system preferred.
  • Familiarity with BuilderTrend preferred
  • Strong professional verbal and written communication skills.
  • Effective collaborator with active listening abilities.
  • Adaptable and quick learner, comfortable retaining new concepts on the fly.
  • Confidence in technical and consultative-sales environments.
  • Skilled in diffusing and resolving difficult customer situations.
  • Ability to manage multiple projects while maintaining attention to detail.
  • Understanding of the Architecture and Design industry (preferred).
  • Proficiency in Microsoft Outlook, Excel, and Adobe Suite.

Compensation:
The anticipated salary range for this position is between $75,000 and $85,000. Salary will be determined based on experience, education, and other factors.
